 Chaperone Guidelines

General Responsibilities: As a chaperone, you are responsible for the team of Divers from the point of assembly prior to the trip departure right up until the parents collect their Divers at the end of the trip. The truth is that chaperoning is hard work and can be tiring – BUT it’s also fun and incredibly rewarding!! The Team Manager will be in charge of organising and making relevant bookings for the trip, and then communicating this to the Divers. The list below outlines the considerations that should be made when organising a trip.

 

  • Hotel
    • Rooming split – male Divers room, female Divers room, Chaperones room, Coaches room.
    • Location; near to pool.
  • Transport;
    • Usually the Team Manager will book the minibus and Driver.
    • Diesel.
  • Catering
    • Does the hotel provide breakfast?
    • Lunches at the pool / Food table.
    • Evening meals.
    • No junk food or fizzy drinks as these will alter our athlete’s performances!!!
  • Evening activities – if there is time!
    • This may include going to the pictures or other similar activities
  • Info Pack for Divers & Parents – This can be printed out & distributed by Coach!
    • Costing
    • Schedule
    • Kit List
    • Programme
    • Emergency contacts
    • Medical Forms & Loco Parentis forms
  • Child Protection
    • As a chaperone, it is your responsibility to know where each of the Divers are at all times.
    • CRB Clearance, the club will apply for this for you free of charge.
    • Rooming arrangements: the Divers must split into same sex rooms only.
  • During the event: Ultimately the chaperones are in charge, however much of the arrangements during the trip will be dictated by the coach & the needs of the competition.
  • Chaperones must be aware of the divers’ whereabouts at all times – the team is the responsibility of the chaperones unless they are on poolside with the coaching staff for training or event.
  • Divers must be on poolside ready to warm up 15 mins before training or in the last round of the event before their own – refer to the event timetable for this info.
  • Food: Chaperones will be required to shop for the food required for the duration of the trip (cash will be provided by the club).
  • Meal’s  (Breakfast / Lunch & Dinner) will be prepared and delivered for the  team (including coaches) by the chaperones; Divers will need to eat      something light prior to training in the mornings.
  • The team coaches will be on poolside for the majority of the event – their responsibility is to coach during training times & events & judge at all other times.
  • Video: Every event needs to be recorded: Divers that are not diving can do this but chaperone’s must ensure that this is being done.
  • Entertainment: The evening entertainment is the choice of the chaperones. This can be anything from a walk to watching a DVD. Coaches may be on hand to assist if necessary. Coaches will be required to attend technical meetings so will not always be present in the evenings.

Costings

The costing should be worked out as follows:

Total cost of accommodation, diesel & transport.

Plus Food & Entertainment.

Total cost is divided by total number of divers attending.

 

The Club will make a financial contribution to the chaperones for out of pocket expenses while they are away.
